For your action: Leave requests and approvals for fiscal year 2024-2025

Hello,

At the end of each fiscal year, the HR Self-Service System is updated and reset, to begin the new financial year. To ensure your leave balances remain accurate before and after this update, please a few actions must be taken on your part prior to the deadlines mentioned below.

Employees:

Before March 31, 2025: Submit and obtain approval for your 2024-2025 leave requests in the HR Self-Service System.

As of April 1, 2025: Leave requests with an effective date prior to April 1 will have to be submitted using the Application for leave form via the Service Desk – HR Compensation.

As of April 15, 2025:

  1. Review your leave balances and report any discrepancies to the Service Desk – HR Compensation (leave balances will be updated in the System on April 12 and 13).
  2. Submit requests for compensatory time due to overtime accumulation only after the system update exercise has been completed (April 15).

Managers:

By March 31, 2025: Process all leave requests including amendments in the HR Self-Service System.

Requests that cannot be submitted through the System:

  1. Leaves: Send the completed and approved Application for leave form through the Service Desk – HR Compensation.
  2. Overtime: Send the completed and approved Time Worked and Extra Duty Report form through the Service Desk – HR Compensation.

Important:

  • All leave requests and amendments that have been submitted by employees, but that have not been processed by March 31 will automatically be approved in the System.
  • However, amendment requests pending deletion, such as cancellation requests, will automatically be denied on April 1.
  • As of April 15, the HR System will only be able to process leave requests for the 2025-2026 fiscal year.

You can access the detailed procedures for employees, supervisors, and third-party leave requesters at all times. If you have questions regarding leave conditions or leave balances, please refer to the Collective agreement or contact your manager.
